2. PAYMENTS & FEESAll fees are payable monthly in advance and must be settled by the 1st day of each month.A 10% late payment penalty shall automatically be applied to all outstanding accounts on the 7th day of the month.Payments must reflect in Aquanation’s bank account in order to be reconciled. Proof of payment does not constitute confirmation of payment.Aquanation reserves the right to:suspend lessons,restrict access to programmes,or withhold assessments and reportsuntil overdue accounts are settled.All recovery costs, legal fees, tracing costs, and collection charges relating to overdue accounts shall be for the member’s account.A registration fee shall apply upon joining or re-joining the academy.Aquanation reserves the right to adjust fees periodically upon reasonable notice to members.
7. STRUCTURED SWIMMER PROGRESSIONAquanation utilises a structured swimmer progression system designed to support long-term aquatic development.Swimmers may be periodically evaluated and progressed according to:confidence,technical competency,skill development,attendance,and programme readiness.Aquanation reserves the right to determine swimmer placement and progression levels.
6. WINTER / ALTERNATIVE PROGRAMMESAquanation reserves the right to substitute swimming lessons with:land-based training,aquatic conditioning,educational workshops,movement programmes,or alternative developmental activitieswhere weather conditions, facility restrictions, safety concerns, utility limitations, or operational requirements make pool-based lessons impractical.Such programmes shall form part of the swimmer’s ongoing developmental programme and membership structure.
8. DRESS CODE & EQUIPMENTAll swimmers are required to:wear appropriate swimwear,utilise the prescribed Aquanation colour-coded swimming caps,and comply with academy equipment requirements.Children who are not potty trained must wear approved aqua nappies.Aquanation reserves the right to refuse participation where required equipment or appropriate attire is not utilised.
4. FREEZE POLICYMemberships may be frozen once per calendar year for a maximum period of one month.A holding fee of R200 shall apply in order to retain the swimmer’s placement within the programme.Freeze requests must be submitted in writing prior to the commencement of the intended freeze period.
5. ATTENDANCE & MAKE-UP POLICYA maximum of one make-up lesson per month shall be permitted unless otherwise approved by management.Notice of absence must be submitted at least 12 hours prior to the scheduled lesson in order for a make-up lesson to be considered.Make-up lessons remain subject to timetable availability and are not guaranteed.In cases of emergency or exceptional circumstances, Aquanation reserves the right to request supporting documentation prior to approving a make-up lesson.Once scheduled, make-up lessons may not be rescheduled. Missed make-up lessons are forfeited.Lessons missed without sufficient notice shall not qualify for make-up sessions.
3. CANCELLATION POLICYMembership cancellation requires one full calendar month’s written notice.Cancellation requests must be submitted via email to:finance@aquanation.co.zaNotice must be received on or before the 1st day of the swimmer’s final active month.Late cancellation notices may result in an additional month’s fees becoming payable.Refunds shall not be issued once payment has been received.

MEMBERSHIP STRUCTUREAquanation Swimming Academy operates on a structured monthly membership model designed to support consistent swimmer development throughout the year.Membership secures the swimmer’s placement within the academy programme and remains ongoing until cancelled in accordance with the cancellation policy contained herein.Aquanation reserves the right to amend timetables, instructors, lesson structures, operational systems, and programme offerings where reasonably required for operational, developmental, seasonal, safety, or facility-related reasons.
9. PARENT & SWIMMER CONDUCTAquanation is committed to maintaining a safe, respectful, and professional environment for all swimmers, parents, instructors, and staff.Aquanation reserves the right to suspend or terminate membership where swimmers, parents, guardians, or guests engage in behaviour deemed:unsafe,abusive,threatening,disruptive,inappropriate,or detrimental to the academy environment.Parents and guardians are expected to:treat staff respectfully,comply with academy procedures,and ensure children are supervised outside of lesson times.
10. HEALTH & SAFETYWhile Aquanation takes reasonable precautions to maintain a safe environment, participation in swimming and related activities carries inherent risks.Parents and guardians acknowledge that:swimming activities involve physical exertion,water-based activities carry inherent dangers,and participation occurs voluntarily.Parents and guardians confirm that the swimmer is medically fit to participate in swimming and related activities.Aquanation must be informed in writing of:medical conditions,injuries,allergies,or any circumstance which may affect participation or safety.Aquanation reserves the right to refuse participation where safety concerns exist.
11. INDEMNITY & LIMITATION OF LIABILITYParticipation in Aquanation programmes and activities occurs at the member’s own risk.To the fullest extent permitted by law, Aquanation Swimming Academy, its directors, employees, contractors, instructors, representatives, landlords, and affiliates shall not be held liable for:injury,illness,loss,damages,accidents,or deatharising from participation in swimming lessons, land training, transportation, events, or academy-related activities, except where caused by gross negligence or unlawful conduct.Parents and guardians:voluntarily assume the risks associated with participation,authorise Aquanation staff to obtain emergency medical treatment where reasonably necessary,and accept responsibility for all related medical costs.Nothing contained herein excludes liability where such exclusion is prohibited by South African law.
12. PHOTOGRAPHY & MEDIA CONSENTAquanation may utilise photographs or videos taken during lessons, programmes, events, or academy activities for:marketing,promotional,educational,and social media purposes.Parents or guardians who do not consent must notify Aquanation in writing.
13. POPIA & PRIVACYAquanation Swimming Academy respects the privacy of all members and complies with obligations under the:Protection of Personal Information ActPersonal information collected may be utilised for:lesson administration,communication,programme management,emergency purposes,and operational requirements.Aquanation undertakes to process personal information responsibly and in accordance with applicable legislation.
14. GENERAL TERMSAquanation reserves the right to amend policies, procedures, programme structures, and operational systems upon reasonable notice.Acceptance of membership constitutes acceptance of all academy rules, policies, procedures, and operational requirements.
15. ACKNOWLEDGEMENTBy accepting membership, the parent/guardian/member confirms that they:have read,understood,and acceptedthe terms and conditions contained herein.
